DataBank Software User Manual

Complete operational handbook and technical documentation for business owners, vendors, catalog managers, and marketing teams. Learn how to centralize assets, leverage public links, and inspect real-time reports.

1. Software Overview & Purpose

DataBank is a modern Digital Asset Management (DAM), Online Catalog Showcase, and Multichannel Marketing platform engineered specifically for vendors, brands, manufacturers, and distributors.

In traditional business workflows, enterprises struggle with scattered marketing assets—high-resolution product photography, specification sheets, PDF brochures, video reels, certification documents, and social media promotions lost in email threads, cloud folders, or messaging apps. DataBank consolidates your entire digital footprint into a singular, structured, vendor-governed repository accessible anytime from desktop or mobile devices.

Structured Taxonomy

Organize assets logically by Company → Collection → Product → Category → Document.

Frictionless Sharing

Instant public digital web catalogs and expiring secure links with zero email attachment barriers.

Real-Time Visibility

Track engagement metrics, social posting velocity, and document download audit trails on the fly.

2. Business Benefits for Vendors

Operating through DataBank delivers measurable competitive advantages across sales cycles, marketing execution, client relationship management, and data security:

Instant Client Catalog Access

Clients don't need app installations or account registration. A single web link provides an interactive, responsive digital catalog with full-text search, category filtering, and high-resolution document previews.

Total Intellectual Property Control

Set password protection on your public catalog and assign expiration dates to shared document bundles. Revoke access with a single click at any time.

90% Reduction in Inquiries & Delays

Eliminate repetitive requests from sales teams, dealers, or buyers asking for "latest specs" or "HD photos". Everything stays centrally updated in real-time.

Data-Driven Marketing Velocity

Audit social posting cadence across Instagram, Facebook, LinkedIn, YouTube, and X. Know exactly what was published, what is pending, and which channels thrive.

Efficiency Highlight:
Bulk operations (Excel template import, zip uploads, and one-click document cloning) allow you to populate thousands of product items and technical records in minutes rather than days.

4. Companies Master (Brand Governance)

Many vendors manage multiple sub-brands, business units, or corporate entities under one roof. The Companies Master allows you to register each business identity.

How to Use Companies:

  1. Navigate to Companies from the sidebar menu.
  2. Click Add New Company. Enter Company Name, Code, Email, Phone, Website, Address, and an optional Description.
  3. Set the Status to Active.
  4. Why this matters: Once created, your social media posts, catalogs, and marketing campaigns can be mapped directly to each company brand, unlocking company-specific analytics in your reports.
Field Name Purpose Example
Company Name Official trading name of the entity or sub-brand Apex Textiles Ltd. / Horizon Luxe
Company Code Unique short identifier for quick tagging APX-01 / HL-IND
Contact Details Direct phone, email, and website for client transparency info@apextextiles.com / +1-555-0199

DataBank organizes your items into an intuitive 3-tier taxonomy that powers your public web catalog and enables rapid document search.

  • Upload cover banners
  • Set display status (Active/Inactive)
  • Showcases on Public Catalog home
TIER 2

Products

Individual sellable product items or SKU lines that belong to a specific Collection.

  • SKU / Product Code tracking

TIER 3

  • Powers catalog sidebar navigation

Promotional Sliders Master

Vendors can upload prominent visual banners in the Sliders section. These banners rotate on your Public Catalog homepage to highlight new arrivals, festive promotions, or featured collections. Configure titles, redirect URLs, and sort orders with instant drag-and-drop or priority numbering.

6. Documents & Digital Asset Bank

The Documents module is the core engine of your data repository. You can store any file type: high-resolution images, PDF brochures, CAD drawings, spreadsheets, certifications, and video files.

All Document Possibilities & Operations:

1. Single & Multi-File Upload

Upload single documents with detailed titles, remarks, tags, category links, and custom metadata attributes. Instant thumbnail generation and preview.

2. Bulk Upload Center

Have hundreds of product photos or spec sheets? Click Bulk Upload, select or drag dozens of files at once, assign a common Category or Collection, and upload them in a single batch.

3. Excel / CSV Import & Export

Download the standardized Excel template with one click (Download Template). Populate your metadata in spreadsheet software, then import in bulk. Export your entire library anytime for offline inventory audits.

4. 1-Click Document Clone

Need to create a similar variant without re-typing tags, remarks, and category metadata? Click the Clone button next to any document to duplicate metadata instantly, then swap the file or adjust details.

Dynamic Custom Attributes: Vendors can define custom key-value pairs (e.g. Color: Navy Blue, GSM: 350, Material: Cotton, Warranty: 2 Years) on any document. These attributes are fully searchable both internally and in public catalog views.

8. Social Media Post Planner & Master

Coordinate all omnichannel marketing campaigns across your brands from a unified content calendar.

Instagram Facebook X (Twitter) LinkedIn YouTube WhatsApp Pinterest Threads

Key Capabilities of the Social Planner:

  • Date & Time Precision: Schedule posts with exact target calendar dates and posting times (AM/PM).
  • One-Click Status Toggle: Easily switch between Not Posted and Posted directly from the table or gallery without opening the edit screen.
  • Visual Media Gallery View: Switch to Gallery View to review all creative graphics in a visual thumbnail card layout with badges and status controls.

  • Bulk Media & Creative Upload: Upload dozens of images and videos via drag-and-drop. Automatically links matching filenames to imported records or generates new draft posts on the fly.

Step-by-Step Workflow: Excel Import + Bulk Media Upload

  1. Step 1: Download Template - Click the Import button on the Social Media Posts page, then click "Download Template".
  2. Step 2: Fill in Post Details & Filenames - Open the Excel sheet, enter your Titles, Platforms (Instagram, Facebook, etc.), Target Dates, and specify the image filename in the Media File column (e.g., banner_sale.jpg, reel_launch.mp4).
  3. Step 3: Import Excel Sheet - Choose your completed Excel file in the Import modal and click "Import Posts".
  4. Step 4: Bulk Drop Images & Videos - Navigate to Bulk Upload. Drag and drop all your image/video assets at once. The system matches filenames and attaches media to their respective imported posts automatically!
Quick Date Filter Shortcut: By default, the Social Media Posts screen displays Today's Posts so your marketing team knows what requires immediate publishing today. Toggle "All Dates" or choose custom "From" and "To" dates to review past records or upcoming campaigns.

10. Vendor Best Practices & Quick Tips

Use clear, descriptive titles that include the product name and document purpose (e.g. Luxe Sofa 2026 - Specification Sheet or Aero Pump Model X - High Res Photo). Add relevant keywords to the Tags field (separated by commas) so clients searching in the public catalog can find them instantly.

Yes! Navigate to Shared Links in your vendor dashboard. Locate the link and click Revoke / Delete. The link will immediately stop working, and anyone attempting to access it will see a secure expiration screen.

For crisp banner displays on both desktop monitors and mobile devices, we recommend a 16:9 or 21:9 aspect ratio, ideally 1920 × 600 px or 1920 × 800 px in JPG or WebP format. Keep text centered so it remains legible across all screen resolutions.

Click the moon / sun toggle icon located in the top navbar next to your profile avatar. Your theme choice is saved automatically to your browser for subsequent visits.
